INFORMATION, RULES, AND REGULATIONS FOR VENDORS

THE BATTLEGROUNDS

ORMOND BEACH, FL.

Feb.29th- March 9th 2008

WHAT:  Bike Week 2008 is an all encompassing event. Admission to the event is free to the public and will be held on feb.29th-march 9th.

WHEN:  This FREE event will be open to the public on feb. 29th 12:00 [noon] and will remain open until 10:00 pm. On March 1st through the 8th the hours are 9:00 am untill 9:00 pm. On Sunday the 9th we will open at 8:00am untill 2:00 pm.

        These hours are "open to the public;" therefore, vendors' vehicles must be cleared during these hours.  The lot is available to vendors' vehicles two hours before opening and one hour after closing.  Set-up will be by schedule only

Vendors who cannot work these hours need not apply

WHERE:  The Battlegrounds is located on US 1 and Exit 273 off of I-95 in Ormond Beach, FL. This is the fastest growing area during motorcyle events in Volusia County!!

WHY:  The Battlegrounds stands as a place to relax in a friendly atmosphere where like-minded bikers can enjoy some of the "old-school" fun that is a traditional rally.  With a full liquor bar, a large vendors area, carnival thrill rides and a "party orriented" Midway we honor the fun with which the rallies started.  We also have  "Industry" Leaders, and the newest talents in the motor-culture showcasing their work and talents to keep us all informed of the future of what many of us have chosen as a way of life.

APPLICATION AND FEE DEADLINES:  The earlier you send in your vendor application and fees, the better the spot that you will recieve and the sooner you will be listed on the websites and included in our advertisements. Your Application must be accompanied with 100% of the total amount owed and can be paid by certified check or money order [Payable to: The Battlegrounds] NO vending space will be reseved until we recieve your application along with 100% payment and an approval by FCI.

NO EXCEPTIONS:  The deadline for us to recieve your final payment is Jan. 2nd 2008. If the total payment has not been paid, FCI will resell your vendor spot   Remember to make a copy for yourself and mail the original back to Farwinds Concessions Inc. P.O. Box 432 Crescent City, FL 32112.

THE REMAINING SPOTS WILL BE SOLD AS AVAILABLE AND ONLY WITH A COMPLETED APPLICATION AND FULL PAYMENT.

INSURANCE:  The vendor will be required to provide Farwinds Concessions Inc./AA Accurate with a current certificate of insurance, showing liability limit of not less than 500,000 per occurence for premise and operations liability, also naming FCI /AA Accurate as as additional insured. Food vendors note that the minimum insurance is 1,000,000 per occurance. Certificates must be recieved by january 2, 2008.

WATER:  WATER IS PROVIDED TO FOOD VENDORS ONLY; YOU WILL NEED TO PROVIDE YOUR OWN HOSES.

No ice machines will be allowed on property.

No electric ice storage coolers will be allowed on property

ELECTRICITY: Electricity is provided by FCI. You will need to provide your own cords. Please discuss any issue with Paul at 386-649-6867 or pfab1063@earthlink.net

only 20 amps will be provided an additional $100 per 10 amps fee will be charged to vendors needing more power arrangements will need to be made ahead of time

TELEPHONES: There are telephone service lines available at an additional charge . Interested parties should speak with Paul at 386-649-6867.

WEATHER: Bike Week 2008 is an outdoor event and will be held rain or shine. We try not to leave anything to chance at the event ; unfortunately, the one thing that we have no control over is the weather. The tempature is usually in the high 70's. There are no refunds due to weather.

PROHIBITED ITEMS: The following items may not be displayed, sold, or dispursed: Firearms, pornograhy of any kind, controlled substance of any kind, drug related paraphenallia and offensive/profane items. Prostitution of any kind is strictly prohibited. Having and/or displaying any  of the above mentioned items will result in an immediate removal from the vendors area and no refund will be given.

SALES TAX: Vendors will be responsible for paying any and all applicable county and state sales tax!  This is a 6.0% State sales tax in addition to a 0.5% Volusia County Discretionary Tax, totaling 6.5%.

REMEMBER: FCI reserves the right to refuse (prior to ) or remove during the event any vendor or entertainer whose products are not compatible with the family-oriented nature of the event.

IML PERMITS: this info is subject to county law

SECURITY: Will be provided through the duration of the event from 12:00 [midnight] to 8:00 am.

VENDOR CAMPING: There is no camping on property!  No campers will be remaining on this property!

VENDOR FEES:  Vendors' fees may vary so discuss all of your needs with Paul such that all possible accomodations have been met.

SUBLETTING:  No vendor may sublet his/her space, or any part of it, without prior written approval by FCI.

LOGO AND ARTWORK:  In the past we have worked with specific vendors on the usage of our FCI name and/or the Battlegrounds artwork and/or name. This is a trademarked logo.  If you would like to use it, you must make FCI an offer in writing.

FINE PRINT: FCI officials maintain the right to remove any vendor that is in violation of the policies and rules of Farwinds Concessions Inc. This includes, but is not limited to, the laws of the State of Florida and the ethical conduct of vendor's representatives prior to and during the event.
